Creating a photo-document will give you the best photographic record of your project that you'll ever get but to put it to work you need
to share it with the project team during the project as well as after. Putting your photographs on-line is the easiest way to get them out to
everyone.
There are many different services available on the Internet these days. Each of them share many of the same features but I find the
costs vary widely. This chapter will cover how to choose a service for sharing your photo-document and CPD's recommended service.
When considering which service to use here are the features to look for:
• File structure, you need to be able to create and name you own folders so the on-line matches your archive photo-document exactly.
• Upload / Download, make sure you'll have the ability to upload and download multiple files (pictures) and even folders with the pictures
already grouped in them. You will want the ability to e-mail one or more photographs direct from your Internet service to your project team.
• Access and access control, you will need the ability to share all or just some of the photo-document with different people. You'll also want
to set control for each person ranging from Full Access to Read Only. Also look for a Public Access where you can share some or all of your
photo-document openly with everyone. Great for publicly funded projects.
• On-line photo viewing, this is very important. I have used my photo-documents many times in project meetings and discovered how varied
this category is. Just about all of the services I've tried will give you thumbnail-sized photos but they open for viewing differently. The best
feature to look for here is the ability to open full-sized (or nearly full-sized) pictures and the ability to scroll through all of the photos in the
folder while on-line. Some services will open each photo separately in another web browser page, you have to open each picture individually.
Other services open a photo within their site and you can scroll forward and back through all of the photos in the file.
• Cost, this area varies greatly. I have found a wide range of prices coupled with different levels of storage space and authorized number of
users. This also changes as one service tries to match another. Many of these services offer free introductory offers or limited use personal
space. This gives you a chance to test run a service before you need it for a project.
